Terms of Service

DonorMS is a donor management service provided by Webcafe (Pty) Ltd (registration number [to be confirmed]), "Webcafe", "we" or "us". These terms apply between Webcafe and the organisation that signs up for DonorMS ("you" or "the Customer"). The person who accepts these terms confirms that they are authorised to bind that organisation.

DonorMS lets non-profit organisations record donors and donations, issue donation receipts and Section 18A certificates, and produce reports. We may improve or change features over time. We will not remove a core feature you pay for without reasonable notice.

DonorMS helps you meet your obligations but does not replace them. You remain responsible for the accuracy of your records and of any certificate you issue to SARS or to donors.

• You must give accurate registration details and keep them up to date.
• You are responsible for everything done under your users' accounts. Keep passwords confidential and remove users who leave your organisation.
• Tell us promptly at [email protected] if you suspect unauthorised access.

• New accounts start with a free trial. At the end of the trial your account continues on the option you chose at sign-up.
• Paid plans are billed in advance at the prices shown in the app, in South African Rand, including VAT where applicable.
• If payment is overdue, the account enters a 7-day grace period, then becomes read-only until payment is received. Your data is not deleted because of late payment.
• We will give at least 30 days' notice of a price change.

You own the donor and donation data you put into DonorMS. For personal information in that data you are the "Responsible Party" under the Protection of Personal Information Act (POPIA), and Webcafe acts as your "Operator". We process it only to provide the service, on your instructions, and keep it secure as described in our Privacy Notice.

You confirm that you have a lawful basis to collect and process the personal information you load, including donor consent where required.

You can export your data at any time while your account is active. After cancellation we keep your data for 90 days so you can export it, after which it is deleted, except where the law requires us to keep it longer.

You may not use DonorMS to break the law, to send unsolicited marketing, to upload malicious code, to probe or overload the service, or to access another organisation's data.

We aim to keep DonorMS available at all times but do not guarantee uninterrupted service. Planned maintenance will be scheduled outside normal business hours where possible. Support is available by email at [email protected].

To the extent the law allows, our total liability to you for any claim relating to DonorMS is limited to the fees you paid in the 12 months before the claim arose. We are not liable for indirect or consequential loss, or for loss caused by incorrect data entered by you. Nothing in these terms limits rights you have under the Consumer Protection Act where it applies.

You can cancel at any time from the billing page or by emailing us. Cancellation takes effect at the end of the paid period. We may suspend or end an account that materially breaches these terms, after giving notice and a reasonable chance to fix the breach where possible.

These terms are governed by the law of the Republic of South Africa. We may update these terms and will notify account owners by email at least 30 days before material changes take effect.
